About these terms
These terms describe the conditions for using the ImmigrationIT website and engaging our technology services for immigration consultancies and visa processing agencies.
Project-specific details are agreed separately in a written proposal, order or service agreement. Where these terms differ from a signed agreement, the signed agreement takes priority for that service. Please review the applicable documents before placing an order.
Our services
ImmigrationIT provides technology services. The features, deliverables and responsibilities included in your project depend on the agreed scope.
- Immigration consultancy CRM: tools for managing leads, visitors, clients, follow-ups, visa processing, payments, refunds, staff and reporting, according to the agreed configuration.
- Website development: design and development of consultancy websites, with content, enquiry features and integrations as specified in the project agreement.
- Google Business Profile services: setup, optimization or management support within the scope agreed with your business.
ImmigrationIT provides software and digital services. We do not make immigration decisions, issue visas or guarantee an applicant’s immigration outcome.
Website and demo use
Website descriptions and demo screens illustrate the services available. A demonstration may use sample information and may differ from the configuration delivered to your consultancy. Confirm required features in your written scope before ordering.
Use the website and demo for legitimate evaluation and enquiries. Do not upload real passports, financial documents, confidential client records or other sensitive information to a public demo. Do not rely on demo data for live business operations or permanent storage.
Your responsibilities
To help us deliver the agreed services, your business is responsible for:
- Providing accurate business details, project requirements and authorized contact information.
- Supplying content, approvals and access needed for the project within agreed timeframes.
- Having the necessary rights and permissions for content, documents and personal information you provide or enter into the CRM.
- Maintaining appropriate staff access and promptly removing access when it is no longer required.
- Reviewing website content, visa information, financial records and other operational data for accuracy before relying on or publishing them.
Accounts and acceptable use
Keep account credentials confidential and use access only for authorized business purposes. Notify us promptly if you suspect that an account or service has been compromised.
- Do not attempt to access another organization’s records or bypass access controls.
- Do not upload malicious code, disrupt services or perform security testing without prior written authorization.
- Do not use the services for fraud, unlawful communications or material you are not authorized to process.
- Do not copy, redistribute or resell software or other materials beyond the rights granted in your agreement.
Project scope and changes
Deliverables, implementation steps and estimated timelines should be documented in the project agreement. Timelines depend on factors such as timely approvals, access, content delivery and third-party requirements.
New features, additional revisions, integrations, data migration or other work outside the agreed scope may require a separate estimate. Any resulting changes to fees or delivery dates should be agreed in writing before the additional work begins.
Fees, payments and cancellation
Fees, currency, payment milestones, taxes where applicable, recurring charges and renewal arrangements are set out in your quotation or service agreement. Third-party subscriptions, domains, hosting and messaging charges should be identified separately where relevant.
Cancellation, refunds and the treatment of work already completed are governed by your service agreement and applicable law. Contact us to discuss a cancellation or billing concern. Nothing in these terms removes rights that cannot lawfully be excluded.
Third-party platforms and outcomes
Some services depend on external platforms such as hosting providers, domain registrars, Google, WhatsApp or other integration providers. Their own terms, availability, pricing and technical requirements apply to their services and can change independently of ImmigrationIT.
Google controls Business Profile verification, approval, reinstatement and Search or Maps rankings. ImmigrationIT cannot guarantee a particular ranking, review removal, profile approval or number of enquiries. Website and CRM services likewise do not guarantee sales, revenue or visa decisions.
External embassy, visa application centre and travel links are provided as resources. Check information directly with the relevant provider or authority before relying on it.
Content and intellectual property
You retain your existing rights in the business content and records you provide. You authorize their use to the extent needed to carry out the services you request, subject to your agreement and applicable requirements.
Ownership and licensing of custom deliverables, source code, templates and software are determined by the written project agreement. Payment for a service does not by itself transfer rights in pre-existing software, tools or third-party materials. Third-party components remain subject to their applicable licences.
Privacy and business records
Your consultancy is responsible for the records it collects and the instructions it gives for their processing. Our handling of personal information is described in the Privacy Policy and any relevant data or service agreement.
Hosting, backup frequency, retention, recovery, export and deletion arrangements depend on your service setup. Agree these requirements before relying on the system for live operations. Requests concerning applicant records should normally be handled through the consultancy responsible for those records.

Support hours, response targets, maintenance and updates depend on your service agreement. Unless expressly agreed, the website does not promise round-the-clock support, uninterrupted availability or a particular recovery time.
Maintenance, network issues and third-party interruptions may affect access. Report problems with enough detail to help investigate them, while avoiding sensitive client information in an initial support message.
Suspension and ending services
The notice requirements and grounds for suspending or ending a paid service are set out in the service agreement and remain subject to applicable law. Access may need to be restricted to address unauthorized use or an immediate security risk.
Before a service ends, coordinate any agreed data export, account handover and outstanding payments. Access, retention and deletion after termination follow the agreed arrangements; do not assume records will remain available indefinitely.
Service commitments and liability
The warranties, remedies and any limitations of liability for a paid service are set out in the applicable service agreement, subject to mandatory legal rights. These website terms do not introduce a separate financial liability cap.
Your team remains responsible for reviewing operational information and decisions made using the services. Software alerts, reports and resource links support your work but do not replace appropriate professional judgment or verification.
Updates and resolving concerns
We may update these website terms as our services change. Updated website terms do not automatically amend a signed service agreement; changes to that agreement follow its own process.
If you have a concern, contact ImmigrationIT with the relevant project details so we can discuss it. Governing law, jurisdiction and any formal dispute process should be specified in your service agreement. Any mandatory rights under applicable law continue to apply.
